Terms of Service - Polaris Tournaments

By using Polaris Tournament services, you agree to be bound by these Terms of Service. Please read them carefully.

1. Acceptance of Terms

By accessing or using our Discord bot, website, or any related services (collectively, the "Service"), you agree to comply with and be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you may not use our Service.

Polaris Tournaments is an independent, community-run tournament organization. We are not affiliated with, endorsed by, or sponsored by Critical Force Ltd. or the developers of any other game referenced on our Service. All game names and trademarks referenced belong to their respective owners.

2. Description of Service

Polaris Tournament provides comprehensive esports tournament management services:

Tournament Management

Complete organization for Critical Ops and Valorant Mobile tournaments

Player Registration

Comprehensive player profile and registration management system

Team Management

Team creation, roster management, and lineup coordination tools

Bracket Systems

Tournament bracket generation and automated result tracking

Community Features

Reaction roles, server boost integration, and community management

Platform Integration

Seamless integration with Discord servers and Challonge tournament platform

3. User Eligibility

Age Requirement: Must be at least 13 years old to use our Service

Discord Account: Valid and active Discord account required

Platform Compliance: Must comply with Discord's Terms of Service

Good Standing: Must not be previously banned from our Service

4. User Accounts and Registration

Account Creation

Accounts are created through our Discord bot integration
You must provide accurate information during registration
You are responsible for maintaining account security
One account per person; multiple accounts are prohibited

Account Information

Keep your profile information current and accurate
Your in-game username (IGN) must match your actual game account
False information may result in account suspension or tournament disqualification

5. Tournament Participation

Eligibility Requirements

Must be registered in our system with verified account
Must comply with specific tournament rules and regulations
Must be available during scheduled match times
Must maintain good standing in the community

Team Formation and Management

Team captains are responsible for their team's conduct and compliance
All team members must be registered users in good standing
Lineup submissions must follow the required format and deadlines
Roster changes may be restricted during active tournaments

Match Conduct and Responsibilities

Players must show up on time for scheduled matches
No-shows may result in automatic forfeiture and penalties
Match results must be reported accurately and promptly
Disputes should be reported immediately to tournament organizers

6. Code of Conduct

Violation of these rules may result in warnings, suspension, or permanent ban.

Prohibited Behavior

Cheating Use of hacks, exploits, or unfair advantages

Harassment Toxic behavior, personal attacks, or discriminatory language

Fraud False information, impersonation, or match fixing

Spam Excessive or irrelevant messages

Account Sharing Allowing others to use your account

Circumvention Attempting to bypass bans or restrictions

Automated Access Using bots, scripts, or other automated means to interact with registration, matchmaking, or leaderboard systems

Expected Professional Behavior

Treat all participants with respect and professionalism
Follow tournament rules and schedules consistently
Report issues through proper channels promptly
Maintain fair play and sportsmanship at all times

7. Content and Intellectual Property

User Content Rights

You retain ownership of content you create
You grant us license to use your content for Service operation
You must not upload copyrighted material without permission
We may remove content that violates these Terms

Our Intellectual Property

Our Service, including the bot and website, is our intellectual property
You may not copy, modify, or redistribute our Service
Tournament data and statistics remain our property

8. Privacy and Data

Your privacy is important to us. Please review our Privacy Policy to understand how we collect, use, and protect your information. By using our Service, you consent to our data practices as described in the Privacy Policy.

9. Prizes and Rewards

Monetary prizes for our tournaments are handled and distributed entirely by us. We do not share your personal information with a third party for the purpose of paying out a monetary prize.

Some tournaments offer in-game rewards instead of or in addition to monetary prizes. Because these rewards can only be granted by the game's developer, winning an in-game reward requires us to share your in-game ID with Critical Force Ltd. (the developer of Critical Ops) strictly for the purpose of delivering that reward. We act solely as an organizer and administrator of these rewards; we are not responsible for the actual delivery of in-game rewards by the developer, and any dispute regarding that delivery is between you and the developer.

10. Service Availability

We strive for 99% uptime but cannot guarantee uninterrupted service
Scheduled maintenance will be announced in advance when possible
We are not liable for losses due to service interruptions
Tournament schedules may be adjusted due to technical issues

11. Enforcement and Penalties

Progressive Warning System

First Violation: Warning and education about policies
Second Violation: Temporary suspension (1-7 days)
Third Violation: Extended suspension (7-30 days)
Severe/Repeated Violations: Permanent ban from all services

Immediate Penalties

Severe violations (cheating, harassment, fraud) may result in immediate suspension or permanent ban without prior warnings.

12. Appeals Process

Appeals must be submitted within 7 days of penalty notification
Include relevant evidence and detailed explanation
Appeals are reviewed by tournament administrators
Decisions on appeals are final and binding

14. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, OR OTHER INTANGIBLE LOSSES.

15. Disclaimer of Warranties

OUR SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.

16. Indemnification

You agree to indemnify and hold us harmless from any claims, damages, or expenses arising from your use of our Service or violation of these Terms.

17. Termination

You may stop using our Service at any time
Tournament history may be retained for record-keeping

By Us

We may suspend or terminate accounts for Terms violations
We may discontinue Service with reasonable notice
Termination does not relieve you of obligations under these Terms

18. Changes to Terms

We may modify these Terms at any time. Material changes will be announced through our Discord servers or website. Continued use of our Service after changes constitutes acceptance of the new Terms.

19. Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions will remain in full force and effect.
